Custom Punch States is a feature that allows administrators to define and assign specific states to punches. Each state can be configured to lock the punch, preventing any further edits while in that state. Administrators can filter punches by state and update them in bulk for easier management.
This feature is particularly useful for tracking punch approvals through multiple stages, such as initial approval and final export to payroll.
Setup
Step 1: Go to the Fareclock Admin Console and go to Settings. Under ‘Settings’ find and click ‘Punches’.
Step 2: Click "Enabled" to activate this feature.
Note that the "Prompt when Exporting" setting allows you to easily assign a state to all punches during the export process.
Manage Punches
Step 1: Go to Manage > Raw Punches.
Step 2: In the filtered list, you can include the Punch State column by customizing the column settings.
Step 3: Choose the Punch you want to configure.
Step 4: You can now update the punch state under the "Punch Information".
Step 5: Be sure to click the "Save State Change" button to confirm the update.
If the Punch State is set to lock the Punch, all other fields, including time entries, will be restricted from editing.
If you need to later re-edit the Punch, you can clear the State to unlock it.
Edit Punch State in Bulk (Manage > Raw Punches)
Step 1: Click the "Bulk Select" option at the top of the screen.
Step 2: Select the punches you want to edit by checking the box next to the worker's name.
Step 3: After selecting the punches, click the dropdown arrow next to “Bulk Action” and select ‘Set Punch State’.

How to Bulk Edit & Import data?
Time Cards
You can also set Punch States individually or in bulk by navigating to Manage > Time Cards.
Step 1: Go to the Fareclock Admin Console and go to Manage. Under ‘Manage’ find and click the ‘Time Cards’.
Step 2: Select the worker for whom you need to update the Punch State.
Step 3: Click this icon to update the Punch State for the selected punch.
Once the Punch State is saved, all other fields, including time entries, will be locked from editing.
Edit Punch State in Bulk (Manage > Time Cards)
Step 1: Click the “Set Punch State” icon at the top of the screen to edit multiple Punch States at once.
