Attendance is an optional feature available on the Premium plan that helps you monitor compliance with shift schedules—such as arriving on time, taking scheduled breaks, and leaving on time.
You can set up a point system to track infractions and trigger disciplinary actions when thresholds are met.
Shift reminder notifications can also be sent to workers and administrators (mobile app version 3.2+) for events like upcoming shifts, breaks, and shift end times.
Setup
Step 1: Go to the Fareclock Admin Console and go to Settings. Under ‘Settings’ find and click ‘Attendance’.
Step 2: To enable this feature, check the box next to "Enable.
Attendance Policy
Step 1: Click the ‘Policies’ tab above.
A policy defines the rules for generating attendance infractions, setting point thresholds for disciplinary actions, determining point expiration, and scheduling early reminders.
Step 2: Assign a name to the attendance policy. You may also specify a point expiration period, or leave the field blank to ensure points do not expire.
Step 3: When configuring infraction rules, select the infraction type and assign the corresponding point value.
Before setting up Point Thresholds, make sure to define the corresponding Event Types under Settings > Attendance > Event Types.
Step 4: To set up a point threshold, choose the threshold type and specify the corresponding point value.
Step 5: In the Reminder Notifications section, select a reminder type (e.g., before shift starts, shift starts, after shift starts, before break starts, etc.). Specify the duration in HH:MM format, and optionally enable admin notifications. If selected, all administrators with Shift Reminders enabled in their profile settings will receive a push notification.
Custom Infraction Types
In addition to the built-in attendance infractions, you can create custom infraction types that administrators can manually apply to workers as needed.
Assign Workers to Attendance Policy
Per Worker:
Step 1: Go to the Fareclock Admin Console and go to Settings. Under ‘Settings’ find and click ‘Users’.
Step 2: You will see a list of users, click on the user you want to edit.
Step 3: Under Attendance, you can assign a policy to each worker individually.
In Bulk:
Step 1: Go to the Fareclock Admin Console and go to Settings. Under ‘Settings’ find and click ‘Users’.
Step 2: Click the Bulk Select button located at the top of the page.
Step 3: Select the workers you want to assign an attendance policy to by checking the box next to their names.
Step 4: Select ‘Set Attendance Policy’.
To ensure new workers are always assigned to a policy before being added, you can make Attendance Policy a required field. To do this, go to Settings > Users > Defaults > Worker Role Settings, and add Attendance Policy to the Required Fields list.
Administrator Notifications:
Administrators can receive email notifications when a Disciplinary Event occurs. To subscribe an admin, go to Settings > Users, open their profile, expand the Notifications section, and check the Attendance Alerts box.
Infractions
If attendance rules generate infractions, a bell notification will appear at the top of the Console.
You can click the link in the notification or go to Manage > Attendance > Infractions to view open infractions.
Opening an individual infraction allows you to view additional details.
In the infraction details, you can add notes and update the status. While the status is set to Open, the infraction will continue to appear in the bell notification. Setting the status to Acknowledged will remove the notification, while setting it to Excused will also remove the associated points from the worker's balance.
Events:
You can also view Attendance events by clicking the notification bell in the Console.
You can click the link in the notification or go to Manage > Attendance > Events to view.
Opening an individual event allows you to view additional details.
In the event details, you can add notes and update the status.
Worker’s Point:
You can view each worker’s current point balance by going to Settings > Users.
You can also view the point balance in the Attendance section of the worker’s individual profile.
Worker’s Notification:
If there’s an infraction, the worker would receive a notification through the mobile Time Clock app.
