The User Defaults settings in Fareclock allow administrators to configure default options that will automatically apply when creating new users.
Step 1: Go to the Fareclock Admin Console and go to Settings. Under ‘Settings’ find and click ‘Users’.
Step 2: Click the ‘Defaults’ tab above.
Worker role settings
- Pin Length - Worker PINs are generally required unless the time clock is configured to operate in Pinless Mode. In Pinless Mode, a PIN may still be required in specific circumstances, depending on system settings and security requirements.
- Required Fields - Each required field must be filled in with a non-blank value to successfully save a worker.
If any fields are marked as required, new workers cannot be added through the time clock app. Additionally, if required fields are designated as sensitive (see Administrator Defaults), certain administrators may not have permission to add new workers.
The following fields are always required: First Name, Last Name, Org Unit, and PIN.
- Induction Fields - Specifies which fields a new worker is prompted to complete when installing the Fareclock app on a personal device or during their first clock-in.
This feature is available in mobile app version 3.3 or later.
- Update Fields - Specifies which fields a worker can update in the mobile app, regardless of whether they have already completed induction.
This feature is available in mobile app version 3.3 or later.
- Enforce National ID / SSN unique - If enabled, each worker’s National ID/SSN must be unique. When enforcing uniqueness, only alphanumeric characters are considered, while spaces and symbols (such as hyphens) are ignored.
- Enable Briefings - Briefings is a feature in the mobile app that allows you to present workers with a PDF document that they must read and acknowledge as consent. Briefings can be configured to appear either once or on a recurring basis (e.g., monthly), such as during induction or at clock-in. Workers can also review their past acknowledgments at any time on their personal page.
You can assign briefings per job or user policy and set up multiple customizable briefings as needed. Common examples include employee handbooks, company policies, and job site procedures. This feature is available with the Premium plan.
- Enable Credentialing - Credentialing is a feature that enables you to assign and manage credentials for each worker, serving as verification in various areas. A credential may represent proof of identification, professional licensing or certification, or work-related training.
Credentials can include an expiration date and supporting documentation, such as a scanned photo, card, or certificate in PDF format.
Administrator role settings
- Authentication providers - Specifies how account administrators are required to sign in. This setting is enforced each time an administrator accesses Fareclock and may lock out existing administrators if their selected method is not enabled.
The “Sign in with Apple” option requires the time clock mobile app version 2.11 or later. It is also supported on the Fareclock website and in the Android app.
Leave this field empty to Allow All sign-in methods without enforcement.
- Authentication domain - Restricts account administrator email addresses to a specific domain (e.g., mycompany.com). This restriction is enforced when adding a new administrator or editing an existing administrator’s information. It does not retroactively affect administrators who were already set up before this rule was applied.
Leave this field blank if you do not want to enforce a domain restriction.
- Two-step verification providers - Specify which sign-in methods will require two-step verification.
- User sensitive access - This group of settings defines the sensitive permissions for an Administrator. Administrators without this permission will only be able to access the information or functionality allowed here.
The first selection box specifies which fields will be restricted for users without this permission. If a field is selected, it will NOT be accessible. To allow access to a field, leave it unselected.
