In this article, you'll explore the various settings and configurations available within the Users section.
List:
Here, you can view a list of all users or workers in the organization and add new ones as needed. You can search and filter workers using the options at the top, customize the displayed columns, export files, and select multiple workers in bulk.
For bulk action:
These settings can be edited using the 'Bulk Select' option.
Individual user:
Basic Information:In this setting, you can activate or deactivate a worker; edit their role and configure their personal details - including first name, middle name, last name, and display name. Additionally, you can assign an organization unit, PIN, QR code, and NFC tag ID for the worker.
Extra Information: In this section, you can configure the user's department, pay class, payroll ID, team schedule, time off policy, labels, and announcements. Leave this field blank if it is not required for your organization.
Custom Fields: The settings available here will depend on the custom fields you have added under Settings > Organization > Custom Fields. Leave this field blank if it is not required for your organization.
Permissions: The settings in this section vary depending on the user's role, whether they are a worker or an admin. If the user is an Account Owner, this section is not applicable, as they already have full access to all features and settings within the console. Leave this field blank if it is not required for your organization.
Notifications: This setting is available only for premium plans. Other features, such as shift reminders, can still send notifications. Workers receive notifications through the app, while admins can receive them either in the app or via the console. Admins can receive notifications based on the options they have enabled in their settings.
Personal Device Settings: In this section, you can enable personal device access. Once enabled, additional settings can be edited, including the user's mobile number, email, personal device mode, reinstall permissions, and geo-fences. You also have the option to reset and reinstall the user's Mobile Time Clock application. You can learn more about this here.
Leave this field blank if it is not required for your organization.
Attendance: Attendance Policies can be added at Settings > Attendance > Policies. Leave this field blank if it is not required for your organization.
Face Model: In this section, you can enroll the Face Model by selecting a file from your device or dragging it into the upload area. To learn more about enrolling face models in Fareclock, click here.
Compensation: In this setting, you can view and add pay rates for each worker. Leave this field blank if it is not required for your organization.
Net Pay: In this section, you can edit the worker's bank name and account number, as well as view net pay adjustments. Leave this field blank if it is not required for your organization.
Contact Details: In this field, you can add the user's address, phone number(s), and email address. Leave this field blank if it is not required for your organization.
Health & Safety: This is an optional field where you can assign a Health & Safety Policy that requires specific credentials for workers to clock in. If no policy is specified, you can still assign Ad Hoc Credentials without a policy; however, an invalid Ad Hoc Credential will not prevent a worker from clocking in. The availability of this feature also depends on your plan.
Documents: An optional field where you can upload documents related to your worker, such as employment contracts, hiring documents, and other relevant files.
Briefings: A briefing can be prompted to a worker one time or periodically (e.g., once per year). They can read it during the induction process as a new user, or otherwise when clocking in. They can also review briefings they already acknowledged under their personal page. Leave this field blank if it is not required for your organization.
Identification: In this section, you can edit your worker's personal information, including their gender, birth date, nationality, national ID or Social Security Number (SSN), driver's license details (including expiration date), passport number, and passport expiration date. Leave this field blank if it is not required for your organization.
Work History: In this field, you can update the worker's employment history, including job title, hire date, and other relevant details. Leave this field blank if it is not required for your organization.
Emergency Contact: For emergency situations, this field allows you to add an emergency contact for the worker, including their name, phone number(s), relationship to the worker, address, and email. Leave this field blank if it is not required for your organization.
Status: In this section, you can review information related to the worker's account, including the date of the last punch, the account creation date, and other relevant details. You can also download the data form and view audit logs associated with the worker's account.
Danger Zone: You have the option to delete the user's account or ban it.
Defaults:
Worker Role Settings:
1. Pin Length: Worker pins are normally used unless the time clock is running in pinless mode. Even in pinless mode, a worker may be required to use a pin in certain scenarios.
2. Required Fields: Each required field must be set to a non-blank value in order to save a worker.
Note that if any fields are required, then you will not be able to add new workers in the time clock app. Also, if any required fields are considered sensitive (see Administrator Defaults), then some administrators may not be able to add new workers.
First Name, Last Name, Org Unit, and Pin are always required.
3. Induction Fields: Specifies which fields a new worker gets prompted to specify upon installation of Fareclock app on personal device, or when clocking in for the first time.
4. Update Fields: Specifies which fields a worker can update in the mobile app, regardless of whether they have already been inducted.
5. Enforce National ID/ SSN unique: If checked, then the National ID / SSN for each worker must be unique. When enforcing uniqueness, only the alphanumeric characters are examined. Any spaces or other symbols such as hyphens are ignored.
6. Enable Briefings: Briefings is a feature that prompts workers in the mobile time clock app to read a PDF file, and "Acknowledge" it, effectively signing their consent.
7. Enable Credentialing: Credentialing is a feature that allows you to add credentials to each worker attesting to that worker in some regard. A credential can be proof of identification, professional licensing and certification, or work-related training. It can have an expiration date, as well as attached documentation such as a photo scan or pdf of a card or certificate.
8. Invalid Credential Policy Blocks Punch: If checked, and if a worker violates the assigned credential policy, then that worker will not be able to clock in or out.
9.Allow Worker to View non Self Certify Credentials: If checked, worker can view non self certify credentials in the mobile app. Even if not checked, workers can still view and edit self certify credentials.
Administrator Role Settings:
1. Authentication providers: Specifies how account administrators sign in. This setting is enforced every time an administrator uses the Fareclock software, so it could lock out existing administrators.
The "Sign In With Apple" feature requires a time clock mobile app version 2.11 or later. You'll also be able to sign in with Apple on the website, and in the Android app.
Leave empty to ‘Allow All’ if you do not want to enforce.
2. Authentication domain: Restricts account administrator email addresses to a particular domain (e.g. mycompany.com). This setting is enforced when a new administrator is added, or when an existing administrator's information is edited. This setting does not affect existing administrators at the time that this setting's value is set.
Leave blank if you do not want to enforce.
3. Two-step verification providers: Specify which sign-in methods require two-step verification.
4. User sensitive access: This group of settings defines the ‘User sensitive’ permission for an Administrator. Administrators without this permission will only be able to access information or functionality configured here.
The first selection box specifies which fields are not accessible by a user without this permission. If a field is selected, then it will NOT be accessible. Thus, if you want the field to be accessible, then do not select it.
These next two settings depend on the plan you have with Fareclock.
Health & Safety:
Credential Policies are used to configure required and/or optional credentials attesting to a worker in some regard.
A Credential can be proof of identification, professional licensing and certification, or work-related training. It can have an expiration date, as well as attached documentation such as a photo scan or pdf of a card or certificate. Fareclock can automatically block a worker from clocking IN if a required credential is missing or expired. You can also track upcoming credential renewals in Compliance reports.
Once your policies are defined, you can assign one policy to each worker under Settings > Users.
Briefing Types:
Briefings is a feature that prompts workers in the mobile time clock app to read a PDF file, and "Acknowledge" it, effectively signing their consent.
A briefing can be prompted to a worker one time or periodically (e.g., once per year). They can read it during the induction process as a new user, or otherwise when clocking IN. They can also review briefings they already acknowledged under their personal page.
Briefings can be enabled per job and/or per user policy. You can set up multiple briefings with different settings. They can be changed as often as you need.
Some examples of briefings might be:
- New employee handbook
- Annual company policy
- Weekly toolbox talk
- Job site specific procedures
The Briefings feature is available on the Premium plan.
