Labels are a flexible way to label users, jobs, and shifts. You can then filter punches by these labels, as well as define pay rules based on labels.
I. Creating Labels
Step 1: Go to the Fareclock Admin Console and go to Settings. Under ‘Settings’ find and click ‘Organization’.
Step 2: Click on the "Labels" tab.
Step 3: To create a new one, click the "+ Add Label" button in the top right corner.
There are two types of Labels: User and Work
A User label may be applied to a user. For example, if you hire subcontractors, you may want to label users by subcontracting firms. You can also filter time cards for users with a specific label.
A Work label is specifically applied to work time, such as labeling jobs or shifts. Thus, a single user may have punches with different labels.
II. Assigning Labels
Per User:
Step 1: Go to the Fareclock Admin Console and go to Settings. Under ‘Settings’ find and click ‘Users’.
Step 2: You will see a list of users, click on the user you want to set a label/s.
Step 3: In the 'Extra Information' section, locate 'Labels.' To assign label(s), click the dropdown arrow and select the desired label(s) for the user then save.
In Bulk:
Step 1: Click the ‘Bulk Select’ button.
Step 2: After clicking it, select the workers you want to set labels by checking the box next to their avatar.
Step 3: After selecting all the workers you want to set labels, click the downward arrow next to the "Bulk Action" button.
Step 4: Select ‘Set Labels’.
To Jobs:
Step 1: Go to the Fareclock Admin Console and go to Settings. Under ‘Settings’ find and click ‘Costing’.
Step 2: You will see the list of jobs within your organization, click on the job you want to set a label/s.
Step 3: In the 'Basic Information' section, locate 'Labels.' To assign label(s), click the dropdown arrow and select the desired label(s) for the job then save.
Jobs Permissions:
To adjust a job’s permissions using 'User Labels', navigate to the 'Permissions' section, where you’ll find a list of settings. Locate 'User Labels' in this list and configure it to align with your organization’s needs.
In Bulk:
Step 1: Click the ‘Bulk Select’ button.
Step 2: After clicking it, select the jobs you want to set labels by checking the box next to the name.
Step 3: After selecting all the jobs you want to set labels, click the downward arrow next to the "Bulk Action" button.
Step 4: Select ‘Set Labels’.
To Job Phase:
Step 1: Go to the Fareclock Admin Console and go to Settings. Under ‘Settings’ find and click ‘Costing’.
Step 2: You will see the list of job phases within your organization, click on the job phase you want to set a label/s.
Step 3: In the 'Basic Information' section, locate 'Labels.' To assign label(s), click the dropdown arrow and select the desired label(s) for the job phase then save.
Jobs Phase Permissions:
To adjust a job phase’s permissions using 'User Labels' and 'Work Labels', go to the 'Permissions' section. Within the settings list, find 'User Labels' and 'Work Labels' and configure these options to fit your organization’s requirements.
To Cost Code:
Step 1: Go to the Fareclock Admin Console and go to Settings. Under ‘Settings’ find and click ‘Costing’.
Step 2: You will see the list of cost codes within your organization, click on the cost code you want to set a label/s.
Step 3: In the 'Basic Information' section, locate 'Labels.' To assign label(s), click the dropdown arrow and select the desired label(s) for the cost code then save.
Cost Code Permissions:
To adjust a cost code’s permissions using 'User Labels' and 'Work Labels', go to the 'Permissions' section. Within the settings list, find 'User Labels' and 'Work Labels' and configure these options to fit your organization’s requirements.
To Shift Class:
Step 1: Go to the Fareclock Admin Console and go to Settings. Under ‘Settings’ find and click ‘Shifts’.
Step 2: Click the ‘Shift Classes’ tabs.
Step 3: You will see the list of shift classes within your organization, click on the shift class you want to set a label/s.
Step 4: In the 'Extra Settings' section, locate 'Labels.' To assign label(s), click the dropdown arrow and select the desired label(s) for the shift class then save.
Permissions/Conditions for Admin
Step 1: Go to the Fareclock Admin Console and go to Settings. Under ‘Settings’ find and click ‘Users’.
Step 2: You will see a list of users, click on the user for whom you want to edit the permissions.
Step 3: Under ‘Permissions,’ you will find a list of settings. Look for ‘User Labels’ or ‘Work Labels’ within this list.
To Custom Field:
Step 1: Go to the Fareclock Admin Console and go to Settings. Under ‘Settings’ find and click ‘Organization’.
Step 2: Click on the "Custom Fields" tab.
Step 3: You will see the list of custom fields within your organization, click on the custom field you want to edit the conditions.
Step 3: Under ‘Conditions,’ you will find a list of settings. Look for ‘User Labels’ or ‘Work Labels’ within this list.
Time Off Entitlement - Work Label Accrual Rate
Step 1: Go to the Fareclock Admin Console and go to Settings. Under ‘Settings’ find and click ‘Time Off’.
Step 2: Click on the "Policies" tab.
Step 3: After adding the time off entitlement details, you can edit the 'Work Label Accrual Rates' in the settings list if the accrual type is set to 'Hours Worked'.
How to View in Reports:
Step 1: Go to the Fareclock Admin Console and go to Reports. Under ‘Reports’ find and click ‘Time Cards’.
Step 2: To filter punches or time cards by label, select the 'Labels' option in the customization column box.
