Sometimes, you might need to apply shift changes after time has already been recorded. This is called back dating, and it can happen when:
- You switch from Open-only mode to Schedule or Schedule+Open
- You change the shift class or break settings
- You assign or change a worker's shift class for past dates
Fareclock gives you tools to update past punches or time cards using Bulk Edit. Here's how to do it depending on your situation.
Changing from Open-only to Schedule or Schedule+Open
If you used Open-only mode before and are now using scheduled shifts, you’ll need to attach past punches to the correct shifts.
Step 1: Go to the Fareclock Admin Console and go to Manage. Under ‘Manage’ find and click ‘Raw Punches’.
Step 2: Click ‘Bulk Select’.
Step 3: After clicking it, select the punches you want to edit by checking this box.
Step 4: After selecting all applicable punches, click the dropdown arrow next to the “Bulk Action” button and choose ‘Attach to Shift’.
Changing Shift Class or Break Settings
If you changed the rules for breaks or shift times, past time cards won’t update automatically. You need to recalculate shifts to apply the new settings.
Step 1: Go to the Fareclock Admin Console and go to Manage. Under ‘Manage’ find and click ‘Time Cards’.
Step 2: Click the ‘Bulk Edit’ tab above.
Step 2: Click ‘Bulk Action’.
Step 3: After clicking it, select the time cards you want to edit by checking this box.
Step 4: After selecting all applicable time cards, click the dropdown arrow next to the “Bulk Action” button and choose ‘Recalculate Shift’.
Adding or Changing Shift Classes
If a worker was on the wrong shift class before, or if you just updated it, you can apply the correct shift class to past records.
Option 1: Set Shift Class on Time Cards
Step 1: Go to the Fareclock Admin Console and go to Manage. Under ‘Manage’ find and click ‘Time Cards’.
Step 2: Click the ‘Bulk Edit’ tab above.
Step 2: Click ‘Bulk Action’.
Step 3: After clicking it, select the time cards you want to edit by checking this box.
Step 4: After selecting all applicable time cards, click the dropdown arrow next to the “Bulk Action” button and choose ‘Set Shift Class’.
Step 5: Select the shift class and click ‘Apply’.
Option 2: Set Shift Class by Job (Raw Punches)
Step 1: Go to the Fareclock Admin Console and go to Manage. Under ‘Manage’ find and click ‘Raw Punches’.
Step 2: Filter by date, job, or worker.
Step 3: Click ‘Bulk Select’.
Step 4: After clicking it, select the punches you want to edit by checking this box.
Step 5: After selecting all applicable punches, click the dropdown arrow next to the “Bulk Action” button and choose ‘Set Shift Class’.
Step 6: Select the shift class and click ‘Apply’.
