Credentialing helps track worker compliance with required documents like safety or health certificates, work permits, licenses, employment contracts and other certifications.
- Add credentials to a worker’s profile, upload supporting files, and set expiration dates for tracking. Expired credentials are marked as “Invalid” and can be monitored through reports.
- Customize Credential Types for better organization and filtering.
- Enable self-certification for workers to upload credentials via the mobile app, with admin approval required.
- Create Credential Policies to enforce required credentials by role and restrict clock-in for non-compliant workers if needed.
- Assign credential requirements to specific jobs based on role demands.
This feature is available on the Premium plan.
Enable
Step 1: Go to the Fareclock Admin Console and go to Settings. Under ‘Settings’ find and click ‘Users’.
Step 2: Click the ‘Defaults’ tab above.
Step 3: In the Worker Role Settings section, select the checkbox next to "Enable Credentialing" to activate the feature.
After enabling the feature, additional settings will become available:
1. Invalid Credential Policy Blocks Punch - If checked, and if a worker violates the assigned credential policy, then that worker will not be able to clock in or out.
2. Allow Worker to View non Self Certify Credentials - If enabled, workers can view non-self-certified credentials.
You may enable the "Invalid Credential Policy Blocks Punch" option if desired. However, it is recommended to activate this setting after all worker credentials are set up to prevent temporary access issues.
Once enabled, you can proceed to the Workers section to create Ad Hoc Credentials. If you need to define specific Credential Types for your organization, refer to the next section.
Credential Types
Step 1: Click the ‘Health & Safety’ tab above.
Step 2: Select the ‘+ New Credential Type’ button.
Step 3: Enter a name, indicate if a document is required (i.e., file evidence must be uploaded), and specify whether the worker can self-certify. Then, click "Save."
Health & Safety
Step 1: Click the ‘+ New Health & Safety Policy’ button.
Step 2: Enter a name and specify the required Credential Types.
Assign to Workers and Jobs
Workers:
Step 1: Go to Settings and under ‘Settings’ find and click ‘Users’.
Step 2: Access the worker's profile and expand the 'Health & Safety' section to make the necessary edits.
Step 3: Choose a Heath & Safety policy.
Jobs:
Step 1: Go to Settings and under ‘Settings’ find and click ‘Costing’.
Step 2: Click the ‘Jobs’ tab above.
Step 3: Select the job to which you want to assign a credential.
Step 4: Under ‘Basic Information,’ select the required Credential Type(s).
Ad Hoc Credentials
Step 1: You can add Ad Hoc Credentials that are not linked to a Credential Policy. To do so, select ‘+ New Ad Hoc Credential’.
Step 2: Either assign a defined Credential Type or enter a custom name. Optionally, include details such as Issued ID, Issued Date, Expiration Date, and upload supporting documents.
To add a required Policy Credential, select "Edit" next to the credential.
Then, check "User has credential" and enter the necessary details, similar to an Ad Hoc Credential.
Once all required policy credentials are added, then the worker's credentialing status will be Valid.
Ad Hoc Credentials do not impact a worker's overall Credentialing Status; they only mark the specific credential as Invalid. The worker may still be eligible to clock in.
Fareclock automatically monitors credential expiration. At midnight (local time), expired credentials are marked Invalid. If a policy credential expires, the worker’s overall status becomes Invalid. If the setting to block workers with invalid credentials is enabled, they will be unable to clock in until the credential is updated.
Time Clock
If you enabled the setting "Allow worker to self certify", then if worker is missing or has an invalid credential, then that worker will automatically be prompted upon clocking IN to enter the information:
If a credential cannot be certified, and "Invalid Credential Policy Blocks Punch" is enabled, workers with an Invalid status won't be able to clock IN, showing an "Invalid credential" error.

Admins subscribed to Credential alerts will receive notifications in the Console and mobile app when a worker updates a credential.
Setup:
Step 1: Go to the Fareclock Admin Console and go to Settings. Under ‘Settings’ find and click ‘Users’.
Step 2: Select a user from the list and under 'Notifications’, enable “Credential alerts”.
The credential will also be marked in the Console as needing approval:
Reporting
There are various reports you can use to gain insights on Credentialing within your organization:
1. Users
Under Settings > Users, there are filters and columns Credential Policy, Credentialing Valid, and Valid Credential Type.
2. Credential Reports
Use the Credentials report to view and filter valid, invalid, and missing credentials. Filter by Expire Date Range to track upcoming renewals.
3. Credential Roll Call
Credential Roll Call report that can be used to audit the credentials of people working.
